Reports to: Community Centers Coordinator, Director of Operations
FLSA Classification: Non-exempt Compensation Range: $22-$25 Hourly
Position Overview: Front Office Client Liaison serves as the first point of contact for visitors and potential clients, providing a welcoming and supportive environment. This role is responsible for managing front office operations, client intake, and supporting clients through the onboarding process. Additionally, the position maintains office security and assists with internal communications, scheduling, and community outreach, ensuring seamless coordination across teams.
Key Responsibilities - Greet, welcome, and direct visitors, ensuring a professional and friendly atmosphere.
- Notify appropriate personnel of visitor arrivals and manage incoming inquiries.
- Complete client intakes and guide potential clients through the onboarding process.
- Maintain the office calendar, scheduling community spaces, and coordinating meetings.
- Complete reporting requirements for the Director of Operations.
- Maintain employee and department directories to efficiently direct visitors and callers.
- Uphold security by following established procedures and monitoring the logbook.
- Operate the telecommunication system, following manufacturer's instructions for phones and console operation.
- Ensure the reception area is safe, clean, and compliant with office procedures, rules, and regulations.
- Document and communicate actions, irregularities, and needs to support continuity among work teams.
- Contribute to team efforts by accomplishing related tasks as needed.
- Support internal communications, ensuring timely updates and outreach.
- Perform light cleaning and complete opening/closing checklists.
- Engage in community outreach and build connections within the local area.
- Utilize peer recovery coaching skills and understand general recovery language to support clients effectively.
Requirements - Current HardBeauty Team Member.
- High school diploma or GED.
- CPFS, Choices, or CCAR equivalent.
- Reliable insured transportation, a valid driver's license, and the ability to work in-person.
- Strong understanding of recovery resources, peer support principles, and trauma informed care.
- Excellent communication and interpersonal skills, with the ability to build trust and rapport.
- Familiarity with addiction and mental health challenges and a commitment to supporting others through similar experiences.
- Experience with communicating across various platforms (email, phone, chat, etc.).
- Telephone Skills: Ability to handle incoming calls professionally and efficiently.
- Verbal Communication: Strong verbal communication skills for engaging with clients and colleagues.
- Active Listening: Ability to actively listen and respond appropriately to client needs.
- Professionalism: Maintain a high level of professionalism in all interactions.
- Client Focus with a Healing-Centered Approach: A compassionate and client-focused attitude with an understanding of healing practices.
- Organization: Strong organizational skills to manage multiple tasks efficiently.
- Informing Others: Ability to communicate information clearly and effectively.

- Supply/Inventory Management: Experience managing supplies and inventory for the office.
- Zoho Sheets, ZohoWriter, CRM: Proficiency or willingness to learn Zoho Writer, Zoho Sheets, CRM
- Ability to Ask for Support and Guidance: Comfort with seeking guidance when necessary to ensure the best outcomes.
