Position Overview: The editorial assistant at The Sun magazine serves as a vital link between the editorial team, contributors, and our readers. This part-time employee role supports the magazine's print and digital content production while managing essential administrative tasks that keep our publication running smoothly. The ideal candidate will have excellent organizational skills, an eye for detail, technical proficiency with digital publishing tools, and a passion for literary publishing.

  • Schedule: Flexible hours with availability requirements for weekly team meetings

Primary Responsibilities:

Content Management

  • Process print-issue articles monthly for load-in using Continuum CMS
  • Publish digital-only articles with simple multimedia processing
  • Organize Adobe InCopy files and high-resolution images for print production

Editorial Support

  • Track deadlines and manage follow-ups
  • Prepare meeting agendas, take notes, distribute summaries, and follow up on action items
  • Develop production schedules and manage editorial calendar across print and digital channels

Contributor Management

  • Manage relationships with monthly contributors
  • Solicit, edit, and secure approval for contributor biographies
  • Monitor payment workflows and file finalized contracts
  • Coordinate submission calls and track submission statistics

Community Engagement

  • Review, select, and edit letters to the editor for publication
  • Create and publish posts across social media platforms
  • Develop promotional content for current issues and archives

Digital Distribution

  • Create and manage email newsletters
  • Track web and social media performance
  • Create monthly analytics reports and make recommendations based on trends

Volunteer Coordination

  • Recruit and onboard volunteer manuscript readers
  • Maintain assessment guidelines and monitor manuscript assignments
  • Track volunteer activity and coordinate regular check-ins

Qualifications:

Required Qualifications

  • Bachelor's degree in English, Journalism, Communications, or related field
  • Excellent writing and editing skills
  • Strong organizational abilities and attention to detail
  • Experience with content management systems
  • Proficiency with Microsoft Office suite and SharePoint
  • Demonstrated ability to meet deadlines and manage multiple projects simultaneously
  • Strong interpersonal skills for effective contributor and volunteer management

Preferred Qualifications

  • 1-2 years of experience in publishing, literary magazines, or editorial work
  • Experience with the Adobe Creative Suite, particularly InCopy/InDesign
  • Familiarity with email marketing platforms
  • Knowledge of social media best practices
  • Experience with data analysis and reporting
  • Interest in contemporary literature and literary publishing

  • Reliable high-speed internet connection
  • Personal computer with up-to-date operating system
  • Ability to install and use required software
  • Availability for occasional video meetings during standard business hours
