Front Office Patient Coordinator Oral & Maxillofacial Surgery Practice

This role is more than answering phones and schedulingits about guiding patients through their treatment journey with compassion, professionalism, and attention to detail.

What Youll Do

Patient Experience & Communication

  • Be the warm, welcoming first impression for every patient who walks through our doors or calls our office.
  • Manage high call volumes with professionalism, positivity, and empathy.
  • Guide patients through registration, insurance details, and treatment informationmaking sure they feel supported every step of the way.
  • Communicate clearly and compassionately via phone, email, and in person, while maintaining HIPAA compliance.
  • Support patients with post-operative instructions, paperwork, and follow-up care.
  • Maintain a clean, professional, and inviting front office environment.

Appointment Coordination & Scheduling

  • Masterfully manage schedules to optimize patient flow and provider efficiency.
  • Confirm, adjust, and reschedule appointments while keeping patients informed and at ease.
  • Ensure referral letters, X-rays, and medical records are complete and ready for appointments.
  • Prepare daily charts and schedules to keep the clinical team organized and ready.

Insurance & Financial Support

  • Verify and update patient insurance with accuracy and attention to detail.
  • Clearly communicate financial responsibilities and payment optionsmaking sometimes-stressful conversations easy to understand.
  • Process payments and reconcile patient accounts with accuracy and efficiency.
  • Follow up on outstanding treatments to help patients move forward with care.

Qualifications

  • High school diploma or equivalent required; college degree preferred.
  • Minimum 2 years in a medical/dental office or customer service role.
  • Familiarity with insurance verification and patient financial coordination.
  • CPR/First Aid certification preferred.
