Job Description

The HT Group has a corporate services client in Austin, TX looking for an  Office Manager who is resourceful, detail-oriented, and proactive to oversee day-to-day office operations and provide project support during a leave coverage period. This person will play a key role in keeping the Austin office running smoothly while assisting the new Head of Facilities and supporting a small team of administrative and janitorial staff.

Contract: November 2025 - April 2026 

Fully On Site: Austin, TX, 78701 

Responsibilities:
  • Oversee office operations and serve as the main point of contact for two office administrators and third-party janitorial staff
  • Support ongoing facilities and office management projects in partnership with the Head of Facilities
  • Coordinate vendor relationships, service contracts, and maintenance for the Austin office
  • Assist with reporting and auditing responsibilities using Excel (VLOOKUPs and pivot tables preferred)
  • Plan and execute small internal events, such as the company’s in-office holiday party
  • Maintain and enhance a positive, organized, and efficient work environment for employees and visitors
  • Collaborate closely with Executive Assistants, Facilities leadership, and cross-functional teams to ensure seamless office operations
  • Manage supply inventory, food and beverage services, and general office upkeep
  • Uphold safety, security, and facility communication processes, including badge management and internal office communications
  • Provide hands-on support as needed, including light janitorial or setup assistance for meetings and events
Requirements:
  • Bachelor’s degree highly preferred
  • 3+ years of office management or senior administrative experience (beyond EA or receptionist duties)
  • Strong Microsoft Excel skills, including reporting, data auditing, and familiarity with VLOOKUPs and pivot tables
  • Exceptional organizational and problem-solving abilities, with a proactive and solutions-oriented mindset
  • Excellent communication skills, both written and verbal
