Administrative Assistant – OCIP/CCIP & Estimation Oversight
Location: Goodlettsville, TN
Job Type: Full-Time
Compensation: $55,000 to $65,000 annually, dependent on experience
Position Summary:
We are seeking a dependable and detail-oriented Administrative Assistant with direct experience in OCIP (Owner Controlled Insurance Programs) and CCIP (Contractor Controlled Insurance Programs). This position also supports the estimating team by helping coordinate bid packages, track estimate documentation, and manage related administrative tasks. Candidates must have excellent organizational skills, familiarity with construction processes, and strong communication abilities.
Important: Minimum of 1 year working for a General Contractor is required. Candidates with OCIP/CCIP experience will be prioritized.
Key Responsibilities:
Manage and track OCIP/CCIP enrollment, documentation, compliance, and reporting
Serve as liaison between project teams, subcontractors, and insurance providers
Support the estimating team with bid document organization, distribution, and tracking
Maintain accurate records of estimate files, subcontractor contacts, and cost data
Assist with the preparation and revision of estimate documents and proposals
Ensure accurate data entry in estimation software and internal systems
Qualifications:
High school diploma or equivalent required; associate’s degree preferred
3+ years of administrative experience; construction industry preferred
Direct experience with OCIP and/or CCIP (preferred)
1+ year experience with a General Contractor ( required )
Proficient in Microsoft Office (Excel, Word, Outlook)
Experience with estimation software (e.g., Procore, Bluebeam, or similar) is a plus
Strong attention to detail, organization, and communication skills
Ability to prioritize tasks and meet deadlines in a fast-paced environment
Work Environment:
Office-based role located in Goodlettsville, TN
Monday through Friday, standard business hours
Occasional light lifting (documents, files, office supplies)
