Overview Assistant Spa Manager - FT / Benefits / $48,000 per year. The Spa Assistant Manager is responsible for managing the daily operations of the Spa. The Spa Assistant Manager is the point person for all aspects of the Spa. The position is responsible for planning and executing the Spa experience, marketing, and administration. Coordinates all aspects of the Spa to maximize Guests & Team Members' satisfaction. Job Responsibilities Anticipate guests’ needs, respond promptly, and acknowledge all guests, however busy and whatever time of day. Observing guest reactions and conferring frequently with team members to ensure guest satisfaction. Maintain positive guest relations at all times. Resolve guest complaints to over-the-moon satisfaction. Follow Hotel policies with lost and found items. Adhere to Hotel requirements for guest and team member accidents or injuries and in emergency situations. Continuously promote sanitation, safety, and security efforts. Encourage Social Media/5-star compliments or reviews on OTA’s. Embrace and exemplify the SCP Culture & Core Values in your day-to-day job duties. Assist with developing strong product quality and treatment measures. Responsible for monitoring and analyzing the products and services of other spas and industry trends, to maintain a competitive advantage. Create action plans and recommendations regarding spa services, marketing, and other operational concerns that may potentially boost profits and minimize losses. Make recommendations regarding recognition, reward programs, safety management, performance evaluations, and team member relations. Prepare and adjust weekly work schedules in accordance with staffing guidelines and labor forecasts. Reevaluate spa needs on a daily basis. Ensure that all licensing and certification requirements are met in accordance with local, state, and federal regulations. Assist with team member relations, including handling team member complaints and grievances and making recommendations and suggestions to PS when necessary, regarding disciplinary action to be taken against a team member, up to and including termination. Assist with managing the spa’s budget and payroll. This includes managing supply purchases and ensuring that the spa is profitable enough to cover expenses. They also write regular expense and profit reports to show losses and gain. Work closely with the Spa Manager and other departmental leaders to ensure successful daily operations and promote SCP Culture and Core Values. Cultivate collaborative, mutually supportive relationships with other departments and co-workers. Attend manager development training, workshops, and other seminars to keep up to date with industry trends and uphold all Hotel policies. Ensure team members follow established protocols for all daily operations and work with the Spa Manager to revise outdated procedures as needed. Conduct pre-shift meetings with team members to review all information pertinent to the day’s business and to assign any additional projects. Ensure that team members report to work as scheduled. Document any late or absent team members. Coordinate breaks and assign work duties to team members. Lead by example and assist team members with their job functions to ensure optimum service to guests and create training opportunities. Monitor team members' interaction with guests, ensuring prompt and courteous service; resolve discrepancies with respective team members. Develop training plans for both new and current team members to stay up to date with the current spa industry trends and standards. Motivate team members and help them to achieve established goals and objectives through open communication and project collaborations. Help facilitate exceptional communication between spa guests, team members, and other departments for successful daily operations and to create clear expectations. Assist with spa orders and inventory by continuously monitoring sales, amenity usage, and backbar stock to ensure sufficient inventory level. Maintain knowledge of all daily spa operations assisting with reservations, phones, and spa housekeeping as needed in addition to supervisor duties. Cultivate the SCP Culture & Core Values by leading our team members to a deeper understanding of our brand. Encourage team member buy-in and reward team member ownership of the SCP Culture. Comply with state massage and cosmetology board regulations. Comply with all state and local safety and health regulations. Report any maintenance issues, safety hazards, or cleanliness concerns to the Spa Manager or designated supervisor promptly. Maintain complete confidentiality in all guest matters in accordance with Hotel policy. Other duties as assigned. Requirements Must be a United States citizen or possess a valid work permit. Must be able to read, write, and speak English. Fluency in other languages is beneficial. Must be able to accurately follow instructions, both verbally and written. Ability to work a flexible schedule that may include evenings, weekends, and holidays. Must be able to work in a fast-paced environment with urgency and empathy. Outstanding coordination and multi-tasking abilities. Professional in appearance and demeanor. Ability to learn, understand, and work within POS, PMS, CRM, and other Hospitality-specific software systems. Must have general computer skills including Microsoft Office and Google Suite. Must have the ability to deal effectively and interact well with guests, vendors, and team members. Must have the ability to resolve problems and/or conflicts in a diplomatic and tactful manner. Supervision Reports to the Spa Manager. Responsible for supervising Spa team members. Education And Experience High school diploma or equivalent. Minimum of 3 years experience in a Spa environment required. Minimum of 3 years supervisory experience required. Training or certifications related to massage or cosmetology preferred. Working Conditions Must be able to lift, carry, push, pull 50 lbs. Must be able to perform simple grasping, fine manipulation, and repetitive hand & arm movements frequently, and squeezing & overhead reaching occasionally. Must be able to bend, squat, crawl, kneel, push, pull, walk on uneven surfaces on an occasional basis. While primarily an indoor job, must be able to walk outside in a variety of weather conditions (rain, wind, heat). Must be able to climb stairs occasionally, both indoors and outside in a variety of weather conditions (rain, wind, heat). Must be able to work in variable room temperatures.
